In order to provide you with services and products, R.E.S. GROUP SRL collects certain personal data. By using our services, you acknowledge that R.E.S. GROUP SRL processes your personal data as described in this Privacy Policy.
R.E.S. GROUP understands that you value your personal data. The main purpose of this policy is to set out the rules on the processing and protection of personal data, in order to increase the level of protection of personal data and to create a climate of trust that allows each person to control their own data.
This document provides information about the types of data we collect, for what purpose and on what legal basis, as well as how we protect your personal data. If you do not agree with this Privacy Policy, we advise you to stop using the services of R.E.S. GROUP.

R.E.S. GROUP SRL, with its registered office in Arad, str. Predeal nr. 9, bl. 7, sc. D, et. 2, ap. 9, postal code 310377, Arad County, Romania, registered with the Arad Trade Register Office under no. J02/16/2007, VAT code RO20437841, is a Romanian legal entity whose business is the organisation of trade fairs and exhibitions.

What types of data we collect and process
"Processing of personal data" means any operation performed on personal data, such as: collection, retrieval, transmission, recording, storage, structuring, restriction, archiving, erasure or any other similar operation.
This applies when you use the services offered through the applications on our websites or take part in our trade fairs, including by filling in flyers/forms (trade fairs include the following categories of events/public events: exhibitions, conferences, round tables, workshops and other similar events, as defined and described in the Exhibitor Manual published on the websites mentioned above).
R.E.S. GROUP mainly collects and processes the following personal data: identification, demographic and location data, first name, last name, address, e-mail address, phone number, organisation, company and IP address. This data is collected directly from you or from other sources when you access our services or become our client.
Given the nature of our activity, we usually lawfully collect the following types of data about you:
- if you decide to take part in our events as an exhibitor, we need to collect data about you, which we obtain when you fill in the Trade Fair Participation Contract:
- identification data of the organisation's legal representative (first name, last name);
- contact details of your organisation's representative who will communicate with us, so that we can manage your participation in the trade fair (name, e-mail, phone);
- if you decide to visit the event, you need to register as a visitor. This requires you to provide personal data such as: first name, last name, organisation, position, e-mail, phone number, and data on your professional interests (for example, that you work in the solar energy sector as a manufacturer of photovoltaic panels, heat pumps or inverters, as a developer, an investor, or similar);
- if you decide to use our newsletter service, we need your e-mail address;
- if you decide to be informed about other future events organised by us, we need your phone number, your organisation's address or your e-mail address;
- to take part in activities organised within the events we support, you need to provide your contact details. Some of the data mentioned above is necessary for organising and running certain activities. For example, if you take part in a contest and are among the winners, we need your data in order to give you the prize. This data will be made available to our collaborators (sponsors, co-organisers, partners, collaborators) who need it to manage such activities lawfully;
- visiting our websites involves the collection of online identifiers or cookie identifiers, under the conditions described in point 10.
For what purposes we collect your personal data and how we process it
R.E.S. GROUP uses personal data in order to communicate more efficiently and to provide you with higher quality services when you request these services from us.
We may therefore collect data for marketing communications by e-mail or SMS only with the explicit consent of the recipient.
R.E.S. GROUP may also use personal data provided with explicit consent in commercial communications on other websites, including social networks.
Also, if you provide us with your e-mail address or phone number (by subscribing to a newsletter or other similar services), your data will be used only to provide you with the information, service or product you have subscribed to.
R.E.S. GROUP may collect your personal data through the website, through the registration cards (flyers) filled in by trade fair visitors, and from other legitimate sources, such as partners, social networks, public websites associated with an account or profile, and information or applications that a social network may transmit to third parties.
You are free at any time to change your mind and no longer be in contact with us. You can do so by unsubscribing, without any justification, or by sending an express written request to the organiser.
Data requested and the corresponding legal bases on which we process personal data
1. Your subscription to the newsletter (e-mail) through the forms on our websites, in order to receive information about the services offered.
By subscribing to the newsletter, you provide us with your e-mail address and phone number, so that we can inform you about our events and send you other news from the industry.
If at any time you no longer wish to receive information from us, you can unsubscribe without giving any explanation, by clicking the unsubscribe link included in each message.
Legal basis: your consent (Article 6(1)(a) GDPR), which you may withdraw at any time by unsubscribing.
2. Requests for information (Stand Offer Request) through the forms on our websites, in order to assess a potential participation (as an exhibitor or sponsor) in our events.
When you request information (a price quotation and other details needed to assess your participation) about taking part in an event, you provide us with the following data: name, e-mail address and phone number, field of activity, company, country, stand area (square metres) and stand type, which we need in order to respond to your request.
The fact that we send you the requested information does not oblige you to accept our offer.
Legal basis: our legitimate interest in responding to your request.
3. Your registration as an exhibitor and/or sponsor.
If, following your assessment, you decide to take part in the trade fair as an exhibitor/sponsor, you need to fill in and send us a participation contract (standard form).
You therefore need to provide us with the name of the legal entity, the first and last name of the company's legal representative, and the first name, last name and e-mail address of the person with whom we should communicate in order to register the participation contract and complete the registration formalities for the event.
Legal basis: the conclusion and performance of the contract.
4. Online visitor registration, by filling in the form on the website, in order to visit the exhibition.
If you wish to visit our exhibition, we ask you to fill in the online form on the website with the following data:
- Name
- E-mail address
- Phone number
- Company and position
- Town/city
- Company website
- Business sector
- How you heard about RoEnergy and, where applicable, the exhibitor who invited you
We use this data to: register you as a visitor; send you the confirmation and the QR access code by e-mail; validate your access at the entrance to the trade fair by scanning the QR code; send you organisational communications related to the event (for example, programme changes or access information); and compile event statistics. The statistics do not contain visitors' personal data.
Legal basis: performance of your registration request (Article 6(1)(b) GDPR).
The form also contains an optional checkbox, unticked by default, through which you can ask to receive additional information by e-mail (news and invitations to our events). We use your data for this purpose only if you tick the box. Your registration as a visitor and receipt of the QR code do not depend on ticking it.
Legal basis for marketing communications: your consent (Article 6(1)(a) GDPR), which you may withdraw at any time by unsubscribing.
4^1. The Industrial Access programme (B2B meetings with exhibitors).
If you apply to take part in the Industrial Access programme, we ask you for data about yourself and the company you represent: first name, last name, position, company, contact details, information about the company's energy consumption (for example, the level of its energy bill), the exhibitors you wish to meet and a description of your needs.
We use this data to validate your application, organise the meetings and send you the agenda. To prepare the meetings, your contact details and the information about your company's needs are sent to the exhibitors you have selected.
Legal basis: performance of your request to take part in the programme (Article 6(1)(b) GDPR).
5. Visitor registration by filling in the forms (cards/flyers) provided at the event venue, in order to visit the exhibition.
If you wish to visit our exhibition, we ask you to fill in the form provided at the entrance to the exhibition with the following data:
- First and last name
- E-mail address
- Phone number
- Position in the company
- Field of activity
- Company website
- Country of origin
Filling in this form (flyer/card) is optional. Regardless of your choice, you are free to visit the exhibition/trade fair.
This data will be used exclusively to compile event statistics, which will help us provide you in the future with services adapted to your needs. The statistics will not contain visitors' personal data in any form.
Legal basis: performance of your registration request.
6. Organisation of activities such as raffles, which end with prizes being awarded to the winners.
To organise such activities, you need to fill in a form with your personal data: first name, last name, e-mail address and phone number.
This data is needed in order to send the prize to the winners and for any clarifications regarding the contest entry process.
The data collected will be made available to the collaborators with whom we organise the contests and/or raffles.
Legal basis: our legitimate interest in organising and running the activity.
7. Promotion of contests/prize activities held during the events/trade fairs organised by us together with our collaborators and/or sponsors.
In order to provide quality services, our events need to be promoted to the public, including through contests supported by our sponsors.
For this purpose, your image (photographs, video and audio materials) captured at the public event needs to be processed and subsequently published on our websites, on our sponsors' websites and on various social media accounts (ours and our sponsors').
Legal basis: our legitimate interest and that of our sponsors in informing the public about the sponsorships offered.
8. Reporting to the authorities.
Organising certain activities within the event involves reporting to the authorities. We therefore need to collect and process your first name, last name and billing address. This data is needed to draw up accounting documents, in accordance with the legislation in force.
Legal basis: compliance with legal obligations.
8^1. Purchase of conference tickets.
For the online purchase of tickets to the conferences organised by R.E.S. GROUP SRL, we collect: first name, last name, phone number, e-mail address and, for legal entities, the company name, Trade Register number, VAT/tax identification code and, optionally, the bank and IBAN, as well as the billing address (country, county, town/city, address).
We use this data to conclude and perform the contract (issuing and sending the electronic ticket, access to the conference, change of participant, cancellations and refunds) and to issue the invoice.
Payment is made online by card through the payment processor euPlatesc.ro. Card data is entered directly on the processor's secure page; R.E.S. GROUP SRL has no access to the full card data and does not store it. The payment processor receives the data needed to process the transaction.
Legal basis: the conclusion and performance of the contract (Article 6(1)(b) GDPR) and compliance with legal accounting and tax obligations (Article 6(1)(c) GDPR).
Invoicing data is kept for the period required by accounting and tax legislation.
9. Automatically collected data.
To ensure adequate website security and proper maintenance, we use online identifiers: IP address, MAC address, the web browser you use, the operating system version of the device you use to connect, and HTTP/HTTPS protocol data.
Legitimate interest: implementing and ensuring adequate website security measures.
10. Cookies
Cookies are small files placed by a website in your browser. We use them as follows:
- Strictly necessary cookies: these allow you to browse the website and access its secure areas. These cookies do not collect information that could be used for advertising or to record your activity on the internet. Without them, the website cannot work properly, which is why they are always active.
Legal basis: our legitimate interest in ensuring that the website works properly.
- Functional, performance and analytics cookies (for example, Google Analytics, including via Google Tag Manager), personalisation cookies, and targeting and advertising cookies: these are placed only after you have given your consent through the cookie banner, for each category separately. Analytics cookies help us understand how the website is used (for example, the shortened IP address, browser parameters, and the time and date of access). Targeting and advertising cookies may be used to show relevant ads on other websites and social networks.
Legal basis: your consent (Article 6(1)(a) GDPR and Romanian Law no. 506/2004).
You can refuse non-essential cookies directly from the banner, using the "Refuse non-essential" button, and you can change or withdraw your consent at any time from the cookie preferences section of the website. You can also delete or block cookies in your browser settings.
11. Defence of legal claims.
Where we need to defend our rights in court to recover debts or to protect our interests against certain claims, we will process your data in accordance with the legal procedures in force.
Legitimate interest: exercising our rights before the courts and public authorities.
12. Reporting to the authorities.
In the situations provided for by Romanian legislation in force, we process your data in order to submit accounting and tax returns to the authorities.

13. Proceedings of authorities and/or judicial bodies.
Where necessary (investigations), at the request of the authorities, we will transmit, in compliance with the legal requirements in force, the data expressly requested by the authorities' representatives.

14. For marketing purposes.
For marketing purposes, either our own or those of other entities we work with, in particular in connection with behavioural advertising, we collect the relevant data, as the case may be, in accordance with the principles of processing personal data for marketing purposes, these steps being necessary for the proper preparation of our events.
Legal basis: your consent (Article 6(1)(a) GDPR), given through the cookie banner or the subscription forms, which you may withdraw at any time.
If we decide to process your personal data for purposes other than those described above, you will be informed through a notice published on our website, so that you can give your consent in accordance with the data protection regulation.
Your personal data referred to in this Policy is not subject to automated decision-making, including profiling.
Who has access to your personal data?
We collect and process your personal data so that, through this information, we can offer you the best quality services and products.
To this end, we occasionally transmit certain personal data to our employees and partners. Being aware of the value of your personal data, we have implemented measures to ensure, in advance, that all our collaborators know and fully comply with personal data protection legislation. We transmit to employees and partners only the personal data they need to perform their duties or to achieve the business objectives set out by contract. The data will be used by our employees or partners only for well-defined purposes that leave no room for interpretation.
To whom we may disclose your personal data
We may transmit your personal data to third parties for use in marketing activities related only to the events (trade fairs) organised by R.E.S. GROUP.
R.E.S. GROUP may transmit your personal data to third parties only in the following situations:
- To service providers, contractors and partners, where this is strictly necessary in order to contract the respective services (for example, the company providing the newsletter service, the company providing website maintenance and hosting, or the payment processor euPlatesc.ro, since these services could not be provided otherwise).
- Within the Industrial Access programme, to the exhibitors you have selected, in order to prepare and hold the meetings you requested (point 4^1).
- For promotions or contests organised together with another organisation (for example, we may communicate with the professional association of electricians to hold a contest on specific topics during a business event, since these services could not be provided otherwise).
How we ensure that your personal data is collected and processed securely
Our personal data management includes measures and procedures that provide an adequate level of security for the collection, organisation, processing and storage of data.
We also constantly ensure that all our partners and collaborators properly comply with Romanian and European personal data protection legislation.
In the event of a security breach, we will make the necessary notifications in accordance with the law.
How long we store your data
Your personal data will be stored for as long as necessary for the purposes for which it was collected, so that we can respond to your requests. For example, we may store your data for as long as reasonably necessary to comply with a legal obligation or to resolve a dispute.
The retention period depends on the purposes for which we collected the data, legal requirements, and the sensitivity, quantity, nature and volume of the data, as well as the potential risk of the data being affected.
Where you have given your consent to the collection and processing of your data – in the cases listed and detailed above – we will process the data in line with the respective purpose, except where we are required to keep the data for a longer period because specific legal regulations expressly require it (accounting, legal proceedings, etc.).
Once R.E.S. GROUP SRL no longer has a legal or legitimate basis to keep your data, your personal data will be deleted.
Can your data be transferred outside the European Union or the European Economic Area?
Normally, your data is not stored or transferred outside the European Union or the European Economic Area.
However, there may be situations in which your data is transferred to countries outside the EU or EEA, to certain collaborators we work with in order to provide you with quality services. If such collaborations exist, we will ensure that your data is processed under adequate security conditions, in accordance with Romanian and EU legislation. Only under these conditions will we be willing to work with partners outside the EU and EEA.
Your rights as a user of our services
As mentioned above, you have the right at any time to object to the collection and processing of the personal data in our possession. To do so, simply send us a request by e-mail, phone or registered letter.

- Right to information – you can request information about the processing of your personal data;

- Right to erasure ("right to be forgotten") – you can request and obtain the erasure of your data where its processing was unlawful or in other cases provided by law;
- Right to restriction of processing – you can request the restriction of processing where you contest the accuracy of the data, as well as in other cases provided by law;
- Right to object – you can object in particular to processing based on our legitimate interest;
- Right to data portability – you can request and receive, under certain conditions, the personal data you have provided to us in a machine-readable format, or request that this data be transmitted to another controller;

- Right to withdraw consent – where processing is based on your consent, you can withdraw it at any time. Withdrawal of consent applies only to the future; processing carried out before the withdrawal remains valid;
- Additional rights relating to automated decisions: you can request and obtain human intervention in such processing, express your point of view and contest the decision.
